Yes, all first-time clients must complete an online Intake Form followed by a complimentary in-person meet-and-greet prior to service. This allows me to meet your pet in their home environment, review their routine, and finalize details together. For interstate clients whose pets are staying at a local property and are unable to meet in person, a video consultation will be arranged instead; please note that Kiara Troop Pet Care cannot be held liable for any resulting issues arising from the absence of a physical meet-and-greet.Who will be staying in my home during overnight stays?
Kiara Troop is your primary pet care provider and handles 100% of direct pet care. As detailed in our Terms of Service, Kiara is accompanied by her partner, Caleb Ellul, during overnight stays to ensure home security and safety.How do keys, security codes, and property access work?
Key collection and lockbox details are organized during our initial Meet & Greet. Keys are securely tagged (without your address or pet names attached) and stored safely. Alarm codes, garage access, and gate instructions are kept strictly confidential in accordance with our Privacy Policy.Can I administer medication or supplements?
I am comfortable administering standard over-the-counter supplements and oral medications. For any prescription medications, a veterinarian's written direction note is strictly required.How do I keep owners updated during visits or overnight stays?
Every client receives regular communication, including photo updates and detailed overview messages, regardless of the service booked.What happens in the event of a pet emergency?
Prior to service, clients complete an emergency veterinary authorization within the online Intake Form, specifying preferred vet details, emergency contacts, payment method preferences, and a pre-approved spending limit. If urgent medical care is required, Kiara Troop Pet Care will make every reasonable effort to contact you first and transport your pet to your designated veterinarian (or the nearest available emergency clinic). Clients are responsible for all veterinary costs incurred, as Kiara Troop Pet Care does not pay out-of-pocket for emergency care. If your vet does not hold payment details on file, accessible funds must be available to cover treatment. Kiara Troop Pet Care is not liable for health outcomes or treatment delays resulting from unreachable clients, inaccessible funds, or pre-existing conditions.What happens if my flight is delayed or my travel plans change while I'm away?
Simply notify me via text or email as soon as your travel changes. Provided schedule availability allows, care will automatically extend to ensure your pet is never left unattended. Any unscheduled extra visits or extended overnight stays will be billed as additional line items via Hnry upon your return.What supplies do I need to provide for my pet's care?
Owners must provide all necessary food, treats, litter, waste bags, leashes, harnesses, and medications for the entire booking duration. If supplies run out while you are away, replacement items will be purchased and added to your final invoice alongside a standard trip fee.Can my dog be walked off-leash?
Dogs are kept securely on-leash during all neighborhood walks. Off-leash exercise (such as visiting designated off-leash dog parks) is only permitted if explicitly requested and signed off by the owner in the Intake Form's off-leash waiver.What are Kiara Troop Pet Care's travel fees and service boundaries?
Services include a complimentary 20 km travel radius calculated from Mambourin. For locations exceeding this 20 km threshold, a travel fee of $1 per kilometer applies per service or day. For example, recurring services like daily express visits will incur the distance charge for each day of service.Do you charge extra for public holidays or peak periods?
• Day Care Grace Period: Day care bookings include a complimentary 30-minute grace period. Time extending beyond this window is billed at a flat rate of $15 per hour.
• Weekend Fee: A $10 flat daily surcharge applies to all Saturday and Sunday bookings.
• After-Hours Fee: A $25 flat fee applies for services scheduled before 8:00 AM or after 5:00 PM (excluding overnight packages).

This Agreement is hosted online for Client review prior to service confirmation. By completing, typing your full legal name, and submitting the official Kiara Troop Pet Care Intake & Service Worksheet (Google Form), you confirm that you have read, understood, and legally accepted all terms, conditions, and waivers contained within this MSA. No manual initialing or email return of this document is required; your electronic submission of the Intake Form constitutes a binding digital signature under applicable Australian e-signature legislation.1. SCOPE OF SERVICES
Kiara Troop Pet Care provides professional in-home pet sitting and animal care performed strictly according to the routines and instructions documented in the Client's submitted Intake Form and confirmed during the initial Meet & Greet. Authorized care services include administering meals and fresh water strictly per Client instructions, cleaning and sanitizing enclosures, litter trays, feeding areas, and bedding, as well as monitoring behavior and providing socialization, comfort, and engagement tailored to each pet’s temperament. Services also encompass conducting scheduled walks or supervised play sessions, performing reasonable tasks to maintain pet-related areas in a tidy and hygienic condition, and providing general oversight to ensure home security while promptly notifying the Client of any health or property concerns.2. CLIENT RESPONSIBILITIES
The Client agrees to provide complete, honest information regarding pet habits, routines, feeding, sensitivities, and temperament via the Intake Form, alongside explicit disclosure of any history of escapism, latch manipulation, territorial behavior, or flight instincts. The Client must supply sufficient, well-maintained equipment such as harnesses, leashes, crates, and carriers, as well as adequate food, treats, litter, and supplies for the entire booking duration, with Kiara Troop Pet Care holding no responsibility for procuring missing supplies unless pre-arranged in writing. Full disclosure of any history of aggression, biting, or behavioral triggers is required, and the Client must supply valid details for a preferred veterinarian and reachable primary and secondary emergency contacts.3. PROPERTY ACCESS & HOUSEHOLD SAFETY
The Client shall provide safe, unobstructed access including keys, lockbox codes, alarm instructions, and garage codes, while ensuring all access methods function properly. The Pet Sitter agrees to respect property, maintain privacy, and secure the home upon every departure. Kiara Troop Pet Care is not liable for accidents, injuries, or property damage resulting from pre-existing structural issues, unsafe conditions, or undisclosed household hazards.4. NATURE OF SERVICE
Kiara Troop Pet Care operates as a privately owned, independent business entity operating as a sole trader.5. DURATION & SCHEDULING
Services are rendered strictly during the dates and times confirmed in the booking invoice, confirmation, or intake form. Requests to modify schedules must be made in writing to [email protected] and remain subject to availability and fee adjustments. Any unscheduled visits, extended care, or travel delay adjustments will be billed as additional line items via the Hnry platform.6. RISKS AND LIABILITY
The Pet Sitter will exercise reasonable professional care, and Kiara Troop Pet Care is not liable for incidents including illness, injury, escape, stress responses, or property damage unless directly caused by proven gross negligence or intentional misconduct. Animals are inherently unpredictable, meaning the Pet Sitter cannot guarantee total prevention of natural behaviors such as scratching, chewing, barking, or digging. If the Client authorizes off-leash activity in the Intake Form, the Client assumes all risks, fully indemnifying the Pet Sitter against any loss, injury, or accident occurring off-leash. Kiara Troop Pet Care maintains professional pet-sitting insurance through MGA, including Care, Custody, and Control (CCC) coverage, though the Client remains responsible for any veterinary expenses or damages exceeding policy limits or deductibles.7. EMERGENCIES AND VETERINARY CARE
If the Client or emergency contacts are unreachable during an emergency, the Pet Sitter is authorized to seek medical care from the preferred vet or nearest emergency clinic and transport the pet as needed. The Client assumes 100% financial responsibility for all veterinary expenses, treatments, diagnostics, and medications. The Pet Sitter will not pay out-of-pocket for veterinary care, meaning the Client must maintain a valid payment method on file with their vet, leave emergency cash on site, or remain reachable to pay over the phone. If the Client is unreachable and delay poses a severe risk to the pet's health, the Pet Sitter is authorized to approve emergency treatment up to the maximum dollar limit specified in the Client's Intake Form. The Pet Sitter reserves the right to withdraw from a service if conditions become unsafe or hazardous, while the Client remains responsible for full service fees in such instances.8.PAYMENT & FEES
All payments are managed electronically via the Hnry platform, with cash accepted only by prior arrangement for manual reconciliation through Hnry for tax compliance. For stays of two days or less, a 50% deposit is required to confirm, with the remaining 50% balance due upon completion. For stays longer than two days, a 25% non-refundable deposit confirms the booking, a 25% progress payment is due prior to the start, and the final 50% balance is due upon completion. Cancellations provided with 7+ days' notice receive a full deposit refund for stays of two days or less; for longer stays, the deposit is forfeited while the progress payment is held as credit valid for 12 months. Cancellations with less than 7 days' notice result in a forfeited deposit, or forfeited deposit and progress payment for longer stays. Cancellations within 48 hours or no-shows are subject to a charge of up to 100% of the total booking fee.9. PROMOTIONAL OFFERS & PARTNERSHIPSThe Groomify Partner Discount (GROOMIFY)
Provides a 10% discount exclusively to new clients referred by Groomify upon presenting the promo code and booking proof at initial inquiry, valid for the first booking only and expiring 60 days after Groomify confirmation, excluding peak holiday surcharges. The Groomify Partner Discount (KIARATROOP) offers an additional 5% discount (total 25% off) for new Groomify clients referred by Kiara Troop Pet Care upon presenting the promo code and Hnry invoice proof, applying exclusively to the first full groom within 60 days of booking confirmation.The Surfcoast Dog Trainer Partner Discount (SURFCOAST / KIARATROOP)
Applies strictly to simultaneous, same-day bookings combining qualified Surfcoast Dog Trainer courses (Silver Puppy, 3 or 5-Session Behaviour Training, Group Drop-in, Recall/Obedience) with Kiara Troop services. If weather reschedules training and Kiara Troop is unavailable on the new date, standard rates apply for the standalone pet care service.10. ASSISTANTS & ONSITE PARTNER POLICY
As a sole trader managing 100% of direct pet care, the Pet Sitter is accompanied by her partner, Caleb Ellul, for all overnight stays as a complimentary home security and safety measure. The Pet Sitter reserves the right to appoint a qualified substitute in extreme emergencies or illness, with prompt notification provided to the Client.11. FORCE MAJEURE
Kiara Troop Pet Care is not liable for failure to perform duties due to natural disasters, severe weather events, road closures, or unpreventable emergencies. Any refunds or credits under Force Majeure remain at the Pet Sitter's sole discretion based on services rendered.12. MEDIA, PRIVACY & COMMUNICATION
Photos and videos captured during care are used to provide regular Client updates, but media will not be published on commercial social media or marketing materials without explicit Client consent. Client personal data, home access codes, and address details are kept strictly confidential under Australian privacy standards.13. GOVERNING LAW & DISPUTE RESOLUTION
Both parties agree to attempt good-faith mediation prior to legal action. This Agreement is governed by the laws of the State of Victoria, Australia, and any disputes shall be resolved within Victorian courts.
